ShelterBlue Update on coronavirus/COVID-19

ShelterBlue continues to prioritize the concerns, safety, and well-being of our valued clients. We all are confronted with constant developments of coronavirus/COVID-19, and our industry is not immune to its effects. While COVID-19 is proving to be unprecedented, responses and measures are needed. Know that you can trust that we at ShelterBlue will use our ten years of experience and competencies to navigate these challenges.

We will maintain our current levels of support as always, from 6 am till 6 pm M-F with monitoring of the support voicemail for any major after-hours issues. While our team rotates through our office in Lexington, KY, where our shipping and receiving is done, splitting their time between home offices and the ShelterBlue offices, we are moving most everyone to work at home until further notice. As many of us have families, this change may lead to you hearing little ones about in the background, depending on what tech you are working with, and we ask that you have patience with us during this time.
• Back up of practice and patient data is nightly and will continue without interruption, secure via encryption and will undoubtedly be ongoing
• For those utilizing our encrypted email services as it is webmail based, you'll continue to be able to send and receive secure, encrypted email.
• We will maintain standard shipping/receiving practices that will be handled by Jamie or Lloyd during this time.
• We do expect supply interruptions for new equipment and have attempted to hedge against this by ordering large quantities of items/computers etc. that we commonly sell. If something needs to be replaced that we don't normally stock, we will do our due diligence in sourcing or finding products from all possible vendors during this time.
Security

One of the very invisible but invaluable things we do with computers in your practice is "web filtering." You've probably never had a reason to notice, but we employ multiple solutions through our management systems to block as many phishing and ransomware websites as possible. This gives you an extra layers of protection when opening links and documents via email that might be malicious. The security challenge now is that many of you will be temporarily spending more time at home or working from home on PCs that we don't manage and doesn't have this protection from ShelterBlue.
We can correctly and safely set up your capability to work from home via Remote Access, deploying a VPN (virtual private network) in conjunction with Remote Desktop Services utilizing security and safeguards currently in place. We can also make recommendations to accommodate home connections in various ways.

We anticipate a significant increase in phishing and virus emails that will attempt to prey on the uncertainty of what's happening in today's world of the coronavirus/COVID-19 pandemic, which makes using unprotected home computers all the riskier. These phishing/malware attacks may come under the guise of Covid-19 related subjects such as downloads of documents for symptoms, government agencies links, website links for testing, or hospital information. Please remind everyone, team members, and family members to stay vigilant and alert to malware when wanting to click on email links.

Reminder: Always use the link hovering technique to help verify the validity of the link by looking at the destination of the link itself. Place your mouse/cursor arrow over the link or image and look at the bottom left corner of your screen at the URL (web address) that will appear. If it does not seem valid or you have doubts – do not click on it and call our support line for verification.

THIS IS AN URGENT WARNING TO ALL OUR CLIENTS.
As you may or may not have become aware, the business, healthcare and IT communities have been a buzz recently about a new type of Malware. This Malware called Cryptoware is the latest exploit in the ever changing field of computer viruses. Traditional virus or spyware programs targeted individual computers trying to gain access to personal information or simply cause destruction. Cryptoware is far worse; it alters the personal data, files and documents on a computer to be completely unusable unless you pay a ransom. The ransom can range from $500 to well over $2000 and because your computers are on a network together it can infect your server or other computers causing patient information to be lost.
Although we have taken great care in offering industry leading protection from these attacks your system is still vulnerable. The analogy I typically use is thinking of your network as a locked house with a security system, which is all well and good until a burglar knocks on your door and you unknowingly answer the door and let him in. That’s how Cryptoware gains access; by opening emails with attachments that seem legitimate you can become infected. This has already happened to at least 2 hospitals (one in California and another in Kentucky) it has also happened to several of your colleagues. Listed below a few simple steps that can be taken to limit your vulnerability to this attack:
1. Train everyone in the office not to open any suspicious emails with attachments. An example would be an email with the subject line “invoice overdue see attachment” yet it’s from a company you don’t do business with or non-descript.
2. Adopt a “Call before you click” policy for email. Any time there is a question on the validity of an email call our support before clicking on it.
3. Switch to HIPPA secure email for office email. While this isn’t 100% full proof most encrypted email providers have filtering for these type of attachments so they never even reach your inbox.
4. If you do become infected turn off the computer immediately to stop the virus from spreading and give us a call as we can assess the severity of the infection.
