About the Role:
Care Done Differently is seeking an experienced Rostering Coordinator to take ownership of the day-to-day coordination of our disability support workforce.
This is not an entry-level rostering or administration position.
We are looking for someone who already understands the complexities of rostering within disability, community services, home care or a similar 24/7 service environment and can confidently manage competing priorities, unexpected cancellations and workforce changes.
The successful candidate will be responsible for maintaining accurate and sustainable participant rosters, coordinating staff coverage, managing roster changes and ensuring timesheets are accurate and ready for payroll processing.
Key Responsibilities:
Rostering & Workforce Coordination
- Develop, maintain and manage participant support rosters.
- Allocate workers based on participant needs, compatibility, availability, location, competencies and required training.
- Manage planned and unplanned shift vacancies.
- Coordinate replacement coverage for sick calls and last-minute cancellations.
- Proactively identify and resolve upcoming roster gaps.
- Maintain accurate employee availability and contracted working arrangements.
- Coordinate planned leave coverage.
- Monitor staff hours, fatigue, overtime and practical travel between shifts.
- Coordinate worker introductions and shadow shifts where required.
- Ensure employees are appropriately trained and competent for the supports to which they are allocated.
- Communicate roster changes clearly and professionally with workers, participants and management.
- Maintain accurate roster information within RotaWiz.
- Escalate workforce shortages, recurring cancellations and service-delivery risks to management.
Timesheets & Payroll Preparation:
- Review employee timesheets each payroll period.
- Reconcile completed timesheets against scheduled shifts.
- Identify and resolve discrepancies between rostered and actual hours.
- Follow up missing or incomplete timesheets and shift documentation.
- Verify shift extensions, cancellations and additional authorised hours.
- Review kilometres and travel claims and ensure required supporting records have been provided.
- Review applicable sleepovers, active overnights, broken shifts and other shift components.
- Ensure required shift notes are completed in accordance with company procedures.
- Follow up employees where clarification or correction is required.
- Escalate unusual, repeated or unauthorised timesheet discrepancies.
- Finalise timesheets within payroll deadlines.
- Work closely with payroll to resolve discrepancies before wages are processed.
About You:
Previous rostering experience is essential.
To be considered, applicants should have:
- Demonstrated experience in a rostering, scheduling or workforce coordination position.
- Previous experience within disability services, NDIS, community services, home care, aged care or another complex service environment.
- Experience managing high-volume and changing rosters.
- Experience managing staff availability, cancellations and short-notice coverage.
- Experience reviewing timesheets and preparing information for payroll.
- Strong computer and workforce-management system skills.
- Excellent attention to detail and ability to identify roster and timesheet discrepancies.
- Strong written and verbal communication skills.
- The ability to remain organised and make appropriate decisions under pressure.
- An understanding of professional boundaries and confidentiality.
- Knowledge of the SCHADS Award and disability-sector rostering requirements is highly regarded.
- Experience with RotaWiz or similar rostering software is highly regarded.
What We're Looking For:
We need someone who can take ownership of the rostering function.
You will need to be proactive rather than waiting for problems to arise, confident communicating with employees, capable of balancing participant and workforce requirements, and comfortable escalating matters when management involvement is required.
