A 5-step A/R cleanup you can start Monday morning.

Every week a claim sits unpaid, it gets harder to collect. Before year-end, give your A/R one focused cleanup.

Step 1️⃣ Pull an aging report by payer and by bucket: 0–30, 31–60, 61–90 and 90+ days.
Step 2️⃣ Sort by two things: dollar amount and how close each claim is to its filing or appeal deadline.
Step 3️⃣ Call or check portals for claims with no response. Many were never received. Resubmit with proof of timely filing.
Step 4️⃣ Appeal denials that are still inside the appeal window, starting with the highest dollar amounts.
Step 5️⃣ Write off only after every follow-up attempt is documented.

Quick reminder: Medicare generally allows 12 months from the date of service to file, but many commercial and Medicaid plans allow much less.

Old A/R isn't lost money yet. It becomes lost money when no one works it.

Today is World Mental Health Day. You spend your days holding space for other people, so this is a short note about protecting the practice that makes that work possible.

You shouldn't have to spend evenings fighting with insurance portals. But a few habits keep your practice steady:

💚 Verify benefits and any session limits before the first visit.
💚 Give uninsured and self-pay clients a Good Faith Estimate, as the No Surprises Act requires.
💚 Record start and stop times so the psychotherapy code matches the session.
💚 Track authorizations and visit counts for plans that require them.
💚 Collect copays at the time of the session.

None of this is why you became a clinician. All of it affects whether you can keep doing the work you love.

Take care of your clients. Take care of yourself. And let someone else take care of the billing.
