When your team opens the A/R aging report, can they tell what needs to happen next?

For a manageable group of unpaid claims, write down:
- The current status
- The issue to resolve
- The next action
- The person responsible
- The payer deadline and follow-up date

A rejected claim, a denial and a claim still processing may need different responses. Check the payer's instructions before resubmitting, and verify patient responsibility before sending a balance to patient follow-up.

Try one payer or one unresolved category at your next billing huddle. Keep each item visible until the outcome and any remaining work are recorded.

Can seven minutes of manual therapy receive a Medicare timed unit? In the right mixed-service calculation, yes.

Here is a CMS example:
• Therapeutic exercise: 33 minutes
• Manual therapy: 7 minutes
• Total qualifying timed treatment: 40 minutes

Forty minutes supports three timed units. The first 30 exercise minutes account for two. Compare the remaining three exercise minutes with seven manual-therapy minutes: the final unit goes to manual therapy.

That is why “every service needs eight minutes” can lead your team astray. This example is specific to the applicable Medicare Part B method. Other billing and coverage requirements still apply.

How many Medicare PT timed units does a visit support? Start with qualifying treatment minutes.

A quick reference for applicable Medicare Part B 15-minute timed therapy codes:
• 8–22 minutes: 1 unit
• 23–37 minutes: 2 units
• 38–52 minutes: 3 units
• 53–67 minutes: 4 units

An appointment’s scheduled length does not tell the whole story. Keep untimed services separate, then review how the supported units are allocated across the services provided.

Check the patient’s payer policy before applying this method to another plan.

Thinking about switching billing companies for your family practice?
Before you make a move, get clear on who handles payer issues, how denials are followed up, and whether the team can work in your current EHR. Ask what happens to unpaid claims during the handover, too.
Our latest article walks through seven questions to ask before you switch. Use them to compare proposals and understand how each billing partner would support your practice.

Seeing the same claim denials again and again? Give your billing team one focused question this week: What keeps causing them?

Review the payer’s explanation, group similar denials, and identify the next action, deadline and person responsible. Look for one recurring issue you can address earlier in the billing process.

Does your medical billing service carry cyber liability and errors and omissions insurance?

Medical billing companies handle sensitive patient information and critical revenue. Yet many practices never ask whether their billing partner has financial protection if a cyber incident or professional billing error occurs.

Before choosing a billing company, ask:

• Do you carry cyber liability insurance?
• Do you carry errors and omissions insurance?
• What are your coverage limits?
• Can you provide current certificates of insurance?

Matrix Medical Billing carries both types of coverage because protecting our clients involves more than submitting claims.

Learn what your practice should verify before selecting a billing partner:

You hire a new provider. They're ready to work. But credentialing takes 90 to 180 days before they can bill a single claim.

That's real revenue sitting on the table while payer systems move slowly, paper forms get lost, and your team manages multiple enrollment timelines manually.

Here's what's coming: 2026 regulations are phasing out paper credentialing entirely and tightening reporting windows even more.

Digital workflows and smarter automation can help cut approval timelines significantly. Faster enrollment means faster billing means faster revenue.

If credentialing bottlenecks are slowing your practice down, let's help you find where the delays are happening. Schedule a free revenue cycle assessment with us.

Most medical practices assume their medical billing servce they are outsourcing is HIPAA compliant.

But have you actually asked the right questions?

Your billing company handles sensitive patient information every single day. Weak security practices, poor employee training, or unsecured systems can put your practice and your patients at risk.

Here are a few questions every practice should ask:

✔️ Do they sign a Business Associate Agreement (BAA)?
✔️ How is patient data secured?
✔️ Are employees trained on HIPAA requirements?
✔️ What happens if there is a data breach?
✔️ Who has access to your patient information?

At Matrix Medical Billing, we take patient information very seriously to help protect our clients from potential data breach liability and security risks.

HIPAA compliance is not just about checking a box, it’s about protecting your practice, your reputation, and your patients.
