Job Title: Concierge Medical Assistant (Dual Front & Back Office)
Practice Model: Direct Primary Care (DPC) – Cash-pay, insurance-free
Specialty: Anti-Aging, Functional Medicine, & Longevity
Location: Yavapai County, Arizona
Position Type: Full-Time
Job Summary
We are a premier Direct Primary Care (DPC) practice specializing in anti-aging, functional medicine, and longevity therapies. We are seeking a highly professional, dual-trained Medical Assistant (MA) who thrives in a luxurious, low-volume, high-touch clinical environment.
This role balances 50% premium front-office concierge relations and 50% clinical back-office care. Unlike high-volume insurance clinics, our DPC model prioritizes unhurried, exceptional patient experiences. You will serve as the primary patient coordinator, assisting our licensed providers with advanced longevity testing, wellness protocols, and membership fulfillment.
Key Responsibilities
Front Office & Concierge Administration (50%)
• Membership Management: Manage the clinic’s monthly or annual DPC membership subscriptions, process recurring and one-time patient fees, and coordinate the digital onboarding flow for new members.
• Premium Patient Scheduling: Coordinate unhurried, extended appointments (often 40–90 minutes) typical of advanced anti-aging consults. MAs understand clinical flow and can book appointments strategically—grouping complex procedures together and spacing out quick follow-ups.
• Retail, Supplies, & Supplement Inventory: Monitor, order, and sell high-grade nutraceuticals and other products directly to patients. Maintain inventory for medical supplies.
• EHR & Secure Communication: Act as the primary manager of communication with patients, facilitating seamless, professional text or email communication between patients and providers. Manage incoming and outgoing faxes. Managing secure communications and phone lines to handle logistics (e.g., billing questions, scheduling) and routing only true clinical questions to the Providers.
• Specialty Lab Coordination: Manage the logistical intake, tracking, and organization of specialty cash labs (e.g., advanced hormone panels, gut microbiome kits, and genetic testing), other labs, and referrals to outside services.
• Other Duties as Assigned by Providers:
o Manage clinical tasks within the EMR: Manage clinical tasks and reminders within the EMR, triage refill requests against existing standing protocols so the providers only have to sign off on exceptions, retrieve and process refill requests from the fax queue, and fulfill directed prescription scripts in coordination with patient appointments.
o Transcribing office visits: Provides transcription support for patient office visits.
o Pre-visit chart prep: Check for outstanding laboratory or imaging results from external facilities before the patient arrives the day before the patient’s scheduled appointment.
o Huddle leadership: Kick off the day with a brief huddle to flag complex patients, missing data, or scheduling bottlenecks.
o Pre-visit Appointment Reminders and Post-Visit Check Out: Medical assistants will contact patients 24 hours prior to their visit to confirm their appointment and will schedule follow up appointments at the end of patient visits.
o Managing Paperwork and Prior Authorizations: MA will track and submit prior authorizations, coordinate peer to peer evaluations, and other paperwork as necessary, etc.
Back Office & Clinical Support (50%)
• Detailed intake & agenda setting: Beyond just taking vitals, our MAs perform medication reconciliation and ask the patient, "What is the main thing you want to address with the PA today?" This prevents "door-knob questions" at the end of a visit.
• Advanced Phlebotomy: Perform expert venipuncture and detailed specimen processing (centrifuging, precise labeling, and coordinating courier pickups for complex biomarker panels).
• Procedure Preparation: Prepare supplies and sterile setups for advanced anti-aging treatments, including Bioidentical Hormone Replacement Therapy (BHRT) pellet insertions and minor medical and aesthetic procedures.
• Injection Administration: Safely administer provider-ordered subcutaneous (SQ) and intramuscular (IM) wellness injections (e.g., Vitamin B12, NAD+, other tailored therapies).
• Minor procedures: Performing EKGs, collecting capillary or venous blood samples, running point-of-care lab tests, TED Treatment administration, and handling basic wound care or suture removal, etc.
• Biometric Screening: Conduct specialized health data intake, including but not limited to baseline EKGs and advanced body composition analysis (e.g., InBody scans).
• IV Therapy Setups: Assist licensed providers or registered nurses with the preparation of intravenous (IV) vitamin solutions and materials, strictly adhering to Arizona Medical Board compliance limits.
• Patient Education: Educate patients on provider-approved protocols for home-based therapeutics and longevity supplements.
Compliance & Legal Scope of Practice
Candidates must operate in strict accordance with the Arizona Medical Board regulations (A.R.S. § 32-1456 & Ariz. Admin. Code § R4-18-605):
• Direct Supervision: All clinical tasks require a supervising physician (MD/DO), physician assistant (PA), or nurse practitioner (NP) to be physically on the premises.
• IV Restriction Notice: In Arizona, MAs cannot legally start, disconnect, or inject medications directly into an IV line. Clinical duties are strictly limited to pre-procedure tray preparation and general patient comfort monitoring.
Qualifications & Requirements
• Education: Graduate of an accredited Medical Assistant program.
• Certification: CMA, RMA, or CCMA, Basic Life Support (BLS) certification is strongly preferred.
• Experience: Minimum of 1–2 years of experience. Prior experience in functional medicine, dermatology, plastic surgery, or a cash-pay boutique medical wellness clinic is highly desirable.
• Phlebotomy Skills: Exceptional venipuncture skills are mandatory due to the extensive blood panels required for anti-aging medicine.
• Soft Skills: Elegant, warm, and highly professional demeanor suited for a high-net-worth concierge clientele.
• Tech Proficiency: Comfortable utilizing modern Electronic Health Records (EHR) and dig.
