Some dental procedures may qualify for medical billing—not only dental billing.

Examples can include:

• Surgical extractions connected to trauma or medical conditions
• Oral appliances for diagnosed sleep apnea
• Dental treatment following an accident

When medical necessity, documentation, and payer requirements align, these cases may present legitimate reimbursement opportunities. However, many general dental practices never evaluate them for medical submission.

In my latest article, I explain when dental-to-medical cross-coding may apply, what documentation matters, and how practices can approach it correctly.

A denied claim costs more than the amount sitting in A/R.

The real cost includes rework, appeal labor, payer follow-up, delayed cash flow, and sometimes the full reimbursement when the claim is never successfully recovered.

That is why denial prevention should be treated as revenue protection, not just another administrative task.

In our latest article, we break down the true cost of one denied claim and why front-end processes such as eligibility & benefits verification and prior authorizations can have a much larger financial impact than they appear to.

A good RCM operation is often defined by what doesn’t happen.

No surprise denial spikes.

No A/R report that suddenly reveals a problem no one saw coming.

No month-end scramble to explain where the money went.

No critical workflow that lives only in one employee’s head.

You know your denial rate and what is driving it. Your aging is predictable. Month-end closes cleanly. And if someone is out for two weeks, revenue keeps moving.

None of that sounds glamorous.

But that is what a healthy revenue cycle should feel like.

If billing creates drama every week, the problem may not be one bad number.

Denials do more than delay payment.

They create extra work for staff, increase A/R, slow cash flow and make it harder to see what the practice is actually collecting.

With a focused revenue cycle process, the goal is not just to work denied claims after the fact — it is to prevent avoidable denials before they happen.

In one engagement, the results included:

31% reduction in claim denials
27% increase in net collections

That came from tighter claim review, cleaner submissions, stronger follow-up and consistent attention to payer requirements.

Collect more. Deny less.

If your practice is dealing with recurring denials or underperforming collections, we can review the revenue cycle and identify where money may be getting stuck.

One orthopedic practice came to us facing a serious denial and aging A/R problem.

Within 60 days, the focus was simple: identify what was getting denied, work the oldest receivables aggressively, and tighten the billing workflow so the same issues did not keep repeating.

The result:

$221K recovered
Denials reduced by 34%
A/R over 90 days cut by half

Revenue cycle problems usually do not come from one bad claim. They build quietly across denials, missed follow-ups, payer requirements and aging balances.

A focused billing team can make a measurable difference.

If your orthopedic practice is dealing with rising denials or aging A/R, we can review the problem areas and show you where revenue may be getting stuck.

Running a medical practice means managing far more than patient care.

Billing, denials, A/R follow-up, eligibility checks, prior authorizations, scheduling, intake, documentation and front-office tasks can quickly become a full-time operational burden.

At Capitol Medical Technologies, we help practices handle these workflows without forcing them to change the systems they already use.

Our support includes:

Medical Billing & RCM
Clinical Documentation
Virtual Assistants
Eligibility & Benefits Verification
Prior Authorizations

The goal is simple: reduce administrative pressure so your team can focus more time on patients and practice growth.

If your practice needs support in one area or across the full workflow, let’s talk.

A common pattern in growing practices:

The practice grows 30–50% over a few years, but the billing structure stays exactly the same.

They hire a biller.

The biller is good.

Then they add a provider.

Then another.

Then telehealth.

Then patient volume doubles.

But the same person is still handling the same workflow, with the same hours and the same process.

At first, everything looks fine.

Then claims start going out late.

Payment posting falls behind.

Denials take longer to work.

A/R starts aging quietly in the background.

The biller is not the problem.

In many cases, they are loyal, capable, and doing everything they can to keep up.

The real issue is that the volume outgrew the system.

And because that person kept absorbing the pressure, no one saw the breaking point coming.

Billing rarely breaks in one day.

It usually happens slowly, quietly, and then all at once.

Most practices see a denied claim as unpaid revenue.
⠀
But the claim amount is only the beginning.
⠀
Every denial can also create:
⠀
• Staff rework and appeal costs
• Additional payer calls and follow-up
• Delayed cash flow
• Growing accounts receivable
• Missed appeal deadlines
• Permanent write-offs
⠀
When denials arrive in waves, the backlog can overwhelm even a capable billing team.
⠀
In my latest article, I break down the true cost of a denied claim and provide a simple formula practices can use to estimate their monthly financial exposure.

When “in-house billing” becomes one person drowning.
⠀
A pattern we often see in practices that have grown 30–50% over three or four years:
⠀
The billing team did not grow with the practice.
⠀
The practice hires a biller. The biller is excellent. Then the practice adds a provider, followed by another provider and telehealth services.
⠀
Patient and claim volume doubles—but the same person is expected to manage it with the same hours and the same processes.
⠀
At first, that capable employee absorbs the additional pressure. Then claims go out a week late—and eventually three weeks late. Denials remain unresolved, payments take longer to post, and the A/R aging report begins drifting in the wrong direction.
⠀
The biller is not the problem.
⠀
The practice has simply outgrown its billing capacity, and a loyal employee has continued compensating until the delays become impossible to hide.
⠀
That is why owners are often surprised. There is rarely one specific day when the system “breaks.”
⠀
The warning signs appear gradually:
⠀
• Longer claim-submission times
• Growing denial backlogs
• Increasing A/R over 90 days
• Dependence on one person who cannot take time off
⠀
If your practice has grown, ask one important question:
⠀
Has your billing capacity grown with it?
⠀
If not, the conversation should be about capacity—not blame.

Is the practice owner still doing the billing?

During the early stages of a practice, handling billing internally may work well.

Patient volume is manageable. The owner understands every patient, claim, and payment. The entire process—from documentation to reimbursement—can run through one person.

But as the practice grows, the calculation changes.

Billing is no longer “free” simply because the owner is doing it.

Every hour spent verifying benefits, submitting claims, correcting rejections, posting payments, following up on unpaid balances, or appealing denials is an hour that cannot be spent:

🩺 Caring for patients
👥 Supporting clinicians
🤝 Developing referral relationships
📈 Improving operations
🚀 Growing the practice

Delegating billing does not mean losing control.

With clear reporting, reliable workflows, and an accountable billing team, owners can maintain visibility without personally completing every administrative task.

The question is not only:

“Can I continue doing the billing myself?”

It is:

“What could I accomplish if these hours were returned to my practice?”
