Could your team actually follow your emergency plan tomorrow?

Not just find it. Not just show it to someone.

Actually use it.

Who calls whom? Who is responsible for your highest-risk clients? What happens if you lose power or phone service? What if staff can't get where they need to go?

An emergency preparedness plan is one of those things that's easy to put on the shelf until the day you really need it.

This is a good time of year to pull yours out and ask whether it still reflects how your agency actually operates.

When a team is struggling, staffing is usually one of the first things people point to.

And sometimes, staffing really is the problem.

But sometimes you start looking a little closer and find something else.

An assignment that doesn't make sense. A process that creates twice the work. Poor communication between departments. A manager spending half the day putting out fires that someone else could be handling.

Adding another person doesn't necessarily fix any of that.

Before assuming you need more staff, it can be worth looking at how the staff you already have are being asked to work.

That's the kind of operational digging we do every day.

If your governing body meetings feel like something you have to get through, you're missing an opportunity.

Yes, they're a regulatory requirement. But done well, they can be one of the few places where agency leadership gets to step out of the day-to-day and really look at what's happening.

What's working? Where are we seeing risk? What keeps coming up? What needs attention before it becomes a bigger problem?

Having someone at the table who can bring an unbiased clinical and operational perspective can make those conversations much more useful.

Compliance matters. But the meeting should actually accomplish something, too.

We've worked with enough new Nurse Managers and DONs to know that the first few weeks can tell you a lot.

Handing someone the keys, showing them their office and expecting them to figure out the rest isn't onboarding.

New leaders need to understand the systems, the expectations and the people they're responsible for leading. They also need someone they can ask the questions they don't necessarily want to ask in front of their new team.

A little more support in those first 30 days can change the trajectory of a new leader.

Sometimes when you're in it every day, you stop seeing it.

The workaround that was supposed to be temporary becomes the process. The communication issue everyone knows about becomes "just how it is." The task that no one really owns somehow keeps getting passed around.

An outside perspective can be incredibly valuable, not because someone from the outside knows your operation better than you do, but because they can see things you've gotten used to.

A fresh set of eyes can uncover a lot.

Getting a Plan of Correction submitted is one thing.

Making sure the correction actually becomes part of how your agency operates is another.

That's the part that can get lost when everyone is focused on fixing the immediate issue and moving forward.

Did the new process make sense to staff? Is it actually being followed? Is someone checking that it's working?

The goal isn't just to correct the finding. It's to make sure you don't find yourself correcting the same problem again six months from now.

Being a good Director of Nursing doesn’t automatically mean you know how to handle every situation that lands on your desk.

Staffing issues. Survey preparation. Difficult families. Clinical concerns. Documentation. Managing your team while still answering to administration and ownership.

It’s a lot, especially for someone who is new to the role.

Some of the best DONs we’ve worked with didn’t need someone to come in and take over. They needed someone experienced in their corner who they could call, ask the question they weren’t sure about and work through the next step with.

Sometimes that support is what turns a good nurse into a really strong leader.

You can have the right policy sitting in a binder and still have a compliance problem.

Because the real question isn’t only, “Do we have a policy for this?”

It’s whether your team knows it, understands it and is actually following it in their day-to-day work.

As we expand our consulting services to Rhode Island home care agencies, this is one of the areas we’ll be spending a lot of time on. We can help agencies review what’s currently in place, identify where there may be gaps and, most importantly, make sure policies and procedures make sense for the way the agency actually operates.

Compliance shouldn’t exist only on paper.

One of the things we say often at Innovations is that you don’t have to wait until there’s a crisis to bring in outside support.

Sometimes things aren’t necessarily “wrong.” Your leadership team is just stretched thin. Census isn’t where you want it. A new DON needs support. There are survey concerns that keep getting pushed to next week. Or everyone is so busy getting through the day that no one has the time to step back and look at the bigger picture.

Those are often the moments when an outside set of eyes can make the biggest difference.

Our work isn’t always about coming in to fix a facility in crisis. Sometimes it’s about helping a good team get ahead of what’s coming next.
